Exhibitor Sites - The Kangaroo Island Field Day offers you a choice of indoor and outdoor sites in a range of sizes to suit your companies need. Indoor sites will be located in existing buildings situated on site, or in marquees that the Field Day Committee will erect. All confirmed indoor site bookings receive a minimum of one free entry pass. All outdoor site bookings of 5m x 5m or greater receive a minimum of one free entry pass. A full listing of site sizes is outlined in the SITE FEE section of this booklet.
The committee will make every attempt to allocate you a suitable site. If you require multiple adjoining sites, sites suitable for power point presentations or other equipment not listed on the order form, please contact the site manager by phoning Craig Stott on 0417826772.
Marquees are available for hire. The committee has various marquee sizes available which can be erected on your outdoor site. Further details on marquee sizes are outlined in the SITE FEE section. If you require more information or a quotation, please contact the site manager.
Power Provisions - cost per power point is $55
Please complete details on Site Application Form. Exhibitors will need to provide their own extension cords which must comply with appropriate safety standards and carry a current approval tag. All cords must be secured and identified with safety tape or bunting in pedestrian areas.
Exhibitor Passes - Passes are required for all exhibitors and each of their staff attending the Field Day. A limited number of exhibitor passes are allocated with each site booked. Additional passes are available for $15.00 each. Passes will be mailed prior to the Field Day.
***Please note; exhibitors must present their pass or full gate fee will apply. The Kangaroo Island Field Day Committee WILL NOT REIMBURSE FOR FORGOTTEN OR LOST PASSES.
Sharing of Sites - Where an exhibitor has one or more companies present on their site that are not part of their core business a site sharer fee must be paid by each additional company sharing the site. Site sharing fee: $45 per additional exhibitor.
Each exhibitor sharing a field day site must be allocated a minimum site size of 3m x 3m. The site must have suitable walkway space between exhibitors, to provide easy public access within the site. All exhibitors sharing a site must complete a Site Application Form. This helps us with exhibitor listings in our “Official Directory” and advertising.
Exhibitor Displays - All displays must be in place by 10.00am on Thursday 23rd February 2012 and are not permitted to be removed from exhibitor’s site before 5.00pm on Thursday 23rd February 2012. Large displays need to be set up on Wednesday 22nd February to ensure other exhibitors easy access to the site.
Livestock - Livestock are permitted on site, only with permission from the committee. Please submit your request to the Site Secretary.
Vehicle Access - Vehicle access into the exhibition area to setup displays will be from;
12.00pm to 9.00pm Wednesday 22nd February 2012 and
7.00am to 9.30am Thursday 23rd February 2012.
In the interest of public safety, no vehicle will be allowed in the exhibition area during exhibition times, unless issued with a vehicle pass. Vehicle passes are free. Please book your vehicle pass on the site application form. All vehicles without passes must leave the exhibition area prior to gate opening times and park within the designated exhibitor car park.
Fork Lift Provision - A courtesy forklift facility is provided for setup of exhibitors sites. Use of this facility will be available from 12pm Wednesday 22nd February 2012. Advance bookings for this service can be made by contacting the site manager.
Communications - Telstra Next G mobile service is available at the venue. Please check with your mobile phone service provider, as some do not offer mobile services to regional areas.
Baled Hay - A contractor has been appointed to supply baled hay to the Kangaroo Island Field Day and will be responsible for delivery to exhibitor’s sites. Baled Hay MUST be ordered via the Site Application Form.
Cost per bale $5.50.
Liquor Licence - Exhibitors who wish to sell liquor on premises MUST apply for, and be granted, their own limited liquor licence. Applications must be made at least 14 days in advance of the Field Day. A letter of approval must also be obtained from Kangaroo Island Field Day Site Secretary and accompany all applications for a limited liquor licence.
On the day
Gates - Gates will open to the public on Thursday 23rd February from 10.00am until 5.00pm.
General Public Admission Adult $15 Child $5
Family (2adult + 2children) $35
Children Under 5 FREE
Public Address System - A Public Address System will be available free of charge for a maximum of two announcements per business for the day. The committee encourages exhibitors to utilize this system and announce special items they may have on offer. Register your interest by contacting the Site Secretary, Allison Stott on 0428549348 by Wednesday 22nd February.
Catering - There will be on site catering for exhibitors to purchase Wednesday afternoon and a cooked breakfast available Thursday morning from 7.00am.
Safety and Security
Security - Overnight security will be provided on Wednesday night 22nd February, commencing at 6.00pm until 7.00am Thursday 23rd February.
Exhibitors are responsible for the security of their site outside of security operating hours. The committee does not accept liability for loss or damage of Exhibitor property.
Exhibitors are NOT permitted to sleep or camp on Kangaroo Island Field Day site nor within a 500 metre vicinity of the Kangaroo Island Field Day site.
Public Risk Insurance - Exhibitors must hold Public Liability Insurance of not less than $5million. The Field Day Committee will need to sight evidence of the policy before permission can be given to exhibit. Please post copies of policy with site application.
Occupational Health and Safety - All Exhibitors and their employees must abide by their Occupational Health and Safety Acts. The site allocated to you is considered to be an extension of your workplace. You have responsibility for the safety of staff and visitors to your site.
A Material Safety Data sheet must accompany any chemicals brought onto the site.
Danger - Under no circumstance is the digging of holes or the driving in of pegs allowed on your site before checking with the Site Manager.
Emergency Services
SA Ambulance, Police and Country Fire Services will be notified of the Kangaroo Island Field Day event. Their attendance will be at the discretion of each organization. In case of emergency, dial 000. You MUST also notify the Secretary’s Office. There is a phone located in the Secretary’s Office.
